The team is dynamic and service-oriented, with multiple team members located in Oslo. Our team is responsible for ensuring seamless travel and administrative support for the Installation and Services department, facilitating smooth operations across all relevant logistics. The workplace is in Oslo, and you will be reporting to the Team Leader for Personnel Logistics.

GETTING A FLYING START

To succeed in the Installation and Services team, you have relevant experience from travel coordination, administration, or logistics within a project-driven organization. You have worked in a structured and service-oriented environment, handling travel arrangements, visa applications, meeting coordination, and administrative tasks. You are comfortable working in an international setting and ensuring compliance with company travel policies and relevant regulations. Ideally, you have experience managing personnel logistics, including tracking and reporting requirements. Your ability to multitask and coordinate efficiently will be key to success in this role.

HOW YOU MAKE AN IMPACT

As a Travel & Admin Coordinator, you will play a key role in ensuring that travel, meetings, and administrative processes run smoothly. Your main responsibilities will include:

  1. Assisting with managing travel bookings in accordance with company policies, including flights and accommodations.
  2. Acting as the main point of contact for travel-related inquiries and coordination with external travel agencies.
  3. Maintaining and updating Nexans' Personnel Tracking System (ProPeople).
  4. Booking required courses for personnel as needed.
  5. Handling visa applications and related documentation.
  6. Coordinating internal and external meetings, including facility arrangements.
  7. Processing invoices through Basware.
  8. Assisting with personnel registration in external databases and work permit applications.
  9. Supporting tax-related documentation and registrations in collaboration with the Tax Department.
  10. Ensuring the intranet page for travel-related information is up to date.

With your strong organizational skills and attention to detail, you will ensure that all travel and administrative processes are executed efficiently. Your ability to work closely with different departments and external partners will contribute to smooth operations and compliance with Nexans' policies.

YOUR STARTING POINT

  1. Background in travel coordination, administration and logistics.
  2. Experience working in a structured, fast-paced environment handling multiple administrative tasks.
  3. Familiarity with travel booking systems, personnel tracking, and visa processes.
  4. Ability to manage multiple priorities while maintaining high attention to detail.
  5. Strong communication skills and service-oriented mindset.
  6. Experience in processing invoices and working with procurement or finance teams.
  7. Fluent in Norwegian and English, both oral and written.
