About the Role

This position reports to the Hub Manager, Northern Europe, Energy Industries, within the myGwork - LGBTQ+ Business Community. As a Management Assistant, you will be part of a global team that is energizing the transformation of society and industry to achieve a more productive, sustainable future.

Key Responsibilities
  1. Provide general support to the Hub Manager, including reading and prioritizing emails and meeting invitations.
  2. Ensure the calendar is up to date and executable, and book travel and accommodation as needed.
  3. Manage expense reports, follow up on delegated approvals, and maintain accurate records.
  4. Coordinate tasks within various systems, including SAP, PowerBI, Intelex, Basware, Synergi, and SOT.
  5. Be the point of contact for internal and external inquiries, and initiate action and prioritize tasks accordingly.
  6. Keep the annual meeting plan updated, invite attendees, and ensure actions are noted and followed up.
  7. Create special reports, presentations, speaker notes, correspondence, and minutes of meetings.
  8. Develop and maintain a structured system for meeting invitations, decisions, and notes.
  9. Support individual executives and members of the management team in a confidential manner.
  10. Organize internal and external events, including itineraries, accommodation, conference registration, and visiting speakers.
  11. Provide financial support on a departmental and project level, including raising and approving requisitions, invoices, and purchase orders.
  12. Solve ad-hoc tasks for the management team.
Requirements
  1. Takes initiative for continuous improvement of administrative processes and procedures.
  2. Has a structured way of working with a flexible and service-minded approach.
  3. Shows interest in learning about the business.
  4. Has a relevant bachelor's degree or higher education, with relevant experience compensating for the lack of a higher degree.
  5. Has minimum 5 years of relevant work experience.
  6. Has excellent communication skills, fluent in both Norwegian and English, written and oral.
