Job Summary

We are seeking a highly organized and detail-oriented Travel & Admin Coordinator to join our Installation and Services department in Oslo. The successful candidate will be responsible for ensuring seamless travel and administrative support, facilitating smooth operations across all relevant logistics.

Main Responsibilities

  • Assisting with managing travel bookings in accordance with company policies, including flights and accommodations.
  • Acting as the main point of contact for travel-related inquiries and coordination with external travel agencies.
  • Maintaining and updating Nexans' Personnel Tracking System (ProPeople).
  • Booking required courses for personnel as needed.
  • Handling visa applications and related documentation.
  • Coordinating internal and external meetings, including facility arrangements.
  • Processing invoices through Basware.
  • Assisting with personnel registration in external databases and work permit applications.
  • Supporting tax-related documentation and registrations in collaboration with the Tax Department.
  • Ensuring the intranet page for travel-related information is up to date.

Requirements

  • Background in travel coordination, administration, and logistics.
  • Experience working in a structured, fast-paced environment handling multiple administrative tasks.
  • Familiarity with travel booking systems, personnel tracking, and visa processes.
  • Ability to manage multiple priorities while maintaining high attention to detail.
  • Strong communication skills and service-oriented mindset.
  • Experience in processing invoices and working with procurement or finance teams.
  • Fluent in Norwegian and English, both oral and written.
