Position Summary
As an Office Manager, you will be responsible for ensuring smooth office operations and providing an exceptional environment for all employees and guests. While your main responsibilities will circle around our Oslo office, you'll also support our team members in our international offices: Barcelona, Stockholm, Copenhagen, London, and Johannesburg. We're looking for someone who is a strong facilitator, eager to wear multiple hats, and has previous experience managing an office. This is a part-time, in-office role based in Oslo, with approximately 20% of your time dedicated to this position.

Responsibilities

  • Manage facilities and operations of the Oslo office.
  • Serve as the point of contact for the office, greeting visitors and external teams, managing access.
  • Assist with general office tasks such as managing office supplies, scheduling meetings, and maintaining a clean and organized office environment.
  • Oversee vendor management, including IT/AV support, building management, equipment, deliveries, etc. Submit maintenance orders and report issues in a timely manner.
  • Handle purchasing for the office and ensure it is well-stocked with necessary supplies, the pantry is maintained, and the space is organized.
  • Manage travel arrangements, including flights, accommodations, and itineraries.
  • Plan in-office and virtual events regionally and company-wide with People Operations and the Social Committee.
  • Handle additional projects and provide administrative support as required.

Qualifications

  • 1+ years of experience as an Office Manager, Workplace Ops, Receptionist, or similar.
  • Organized with a strong attention to detail.
  • Ability to juggle multiple priorities and keep track of timelines, updates, and calendars.
  • Excellent interpersonal skills with a "no task is too small" attitude.
  • Enthusiasm for creating a positive and productive office environment.
  • Self-directed and capable of working with minimal guidance.
