About the Role

We are seeking a highly organized and proactive Management Assistant to support our Hub Manager for Energy Industries, Northern Europe. As a key member of our team, you will be responsible for providing administrative coordination and ensuring the smooth operation of our organization.

Key Responsibilities
  • Provide general support to the Hub Manager, including reading and prioritizing emails and meeting invitations.
  • Manage the calendar, ensuring it is up-to-date and executable.
  • Book travel and accommodation, as well as manage expense reports.
  • Follow up and execute delegated approvals.
  • Manage tasks within various systems, including SAP, PowerBI, Intelex, Basware, Synergi, and SOT.
  • Be the point of contact for internal and external enquiries, initiating action and prioritizing urgency of tasks.
  • Keep the annual meeting plan updated, invite to meetings, and ensure actions are noted and followed up.
  • Create special reports, presentations, speaker notes, correspondence, minutes of meetings, and other documents as required.
  • Establish and maintain a structured system for meeting invitations, decisions, and notes.
  • Support individual executives and members of the management team in a confidential manner.
  • Organize internal and external events and travels, including itineraries, accommodation, conference registration, and visiting speakers.
  • Provide financial support on a departmental and project level, raising and approving requisitions, invoices, purchase orders, and other financial documents.
  • Solve ad-hoc tasks for the management team.
Requirements
  • Takes initiative for continuous improvement of administrative processes and procedures.
  • Has a structured way of working with a flexible and service-minded approach.
  • Shows interest in learning about the business.
  • Has a relevant bachelor's degree or higher education, with relevant experience compensating for the lack of a higher degree.
  • Has a minimum of 5 years of relevant work experience.
  • Has excellent communication skills, fluent in both Norwegian and English, written and oral.
